ETHICA CERTIFICATE RENEWAL POLICY

Ethica Certificate of Ethical Excellence – Annual Renewal & Reaffirmation Policy


2. Policy Statement

All Ethica Certificates of Ethical Excellence (CEE), across all levels and categories, are renewable annually.

Annual renewal is a mandatory ethical reaffirmation process designed to ensure continuous commitment to ethical excellence, integrity, anti-corruption, anti-fraud practices, and productivity-focused conduct.

The renewal process affirms that ethical excellence is not a one-time achievement but a living, conscious, and accountable commitment.


3. Purpose of Annual Renewal

The annual renewal exists to:

  1. Reaffirm the holder’s conscious commitment to ethical excellence.

  2. Sustain anti-corruption and anti-fraud discipline across institutions and individuals.

  3. Ensure ethics remains active, measurable, and verifiable, not symbolic.

  4. Promote continuous ethical reflection, learning, and accountability.

  5. Protect the credibility and global integrity of the Ethica certification system.

  6. Provide the public, employers, and governments with up-to-date ethical verification.


4. Scope of Application

This policy applies to:

  • All certification levels (Levels 1–5)

  • Individuals (professionals, workers, executives)

  • Institutions (corporate entities, firms, public agencies, ministries, NGOs)

  • Honorary and institutional certificates, where applicable

No Ethica certificate remains permanently valid without annual renewal.


5. Renewal Principle

Ethica operates on the principle that:

Ethical excellence must be consciously renewed, publicly accountable, and continuously verified.

Annual renewal is therefore:

  • A recommitment, not merely an administrative process

  • A moral affirmation, not a financial transaction

  • A public trust mechanism


6. Renewal Requirements

To renew the Certificate of Ethical Excellence, holders must satisfy at one (1) of the following, as applicable to their level:

For Individuals

  1. Participation in Ethical Excellence Sessions or refresher seminars.

  2. Ethical conduct assessment by an Ethica-certified chaplain or supervisor.

  3. Confirmation of no proven ethical misconduct within the renewal year.

  4. Completion of a brief Ethical Reaffirmation Declaration.

  5. Evidence of ethical leadership, productivity, or positive workplace conduct.

For Institutions (Level 5)

  1. Continued collaboration with Ethica or assigned chaplains.

  2. No substantiated record of institutional corruption, fraud, or ethical abuse.

  3. Maintenance of internal ethical compliance mechanisms.

  4. Annual ethical review or staff ethics engagement.

  5. Formal reaffirmation of commitment to anti-corruption and anti-fraud standards.


7. Renewal Declaration

All renewing holders must endorse an Ethical Reaffirmation Declaration, affirming that they:

  • Remain committed to ethical excellence

  • Reject corruption, fraud, and abuse of office

  • Accept public verification and accountability

  • Consent to certificate withdrawal if ethical standards are violated


8. Certificate Status & Public Verification

Upon successful renewal:

  • The certificate status on the Ethica Global Ethical Excellence Database (EGEED) shall be marked as:

“VALID”

This status signifies:

  • Active ethical consciousness

  • Ongoing commitment to ethical excellence

  • Eligibility for public trust and verification

  • Compliance with Ethica ethical standards

Employers, institutions, governments, and the public may verify certificate status in real time through Ethica’s official website and verification portal.


9. Non-Renewal Status

If a certificate is not renewed:

  • The status shall change to “EXPIRED”

  • The holder may not publicly present themselves as an active Ethica-certified entity

  • Employers and institutions are notified through the verification system

Non-renewal does not imply misconduct but indicates inactive ethical reaffirmation.


10. Suspension & Withdrawal

A certificate—whether renewed or not—may be suspended or withdrawn if there is:

  • Proven corruption or fraud

  • Abuse of office or ethical misconduct

  • Reputational harm linked to moral dishonesty

  • Repeated violation of ethical standards

Withdrawal follows:

  • Investigation

  • Fair hearing

  • Official revocation notice

  • Database update

Reinstatement is possible upon:

  • Verified rehabilitation

  • Ethical re-training

  • Recommendation by an Ethica chaplain


11. Role of Chaplains in Renewal

Ethica-certified chaplains are responsible for:

  • Facilitating renewal sessions

  • Conducting ethical assessments

  • Guiding reaffirmation processes

  • Recommending renewal approval or deferral

  • Upholding ethical discipline within institutions


12. Authority & Global Governance

Ethica remains the sole global authority for:

  • Issuance

  • Renewal

  • Verification

  • Suspension

  • Withdrawal

of the Certificate of Ethical Excellence worldwide.

No institution or individual may self-renew or alter certification status without Ethica’s authorization.


13. Sustainability & Global Applicability

This renewal policy is designed to be:

  • Embassy-acceptable

  • Culturally neutral

  • Sustainable across all nations
